Estimating Administrator

PRINCIPAL DUTIES:

  • Seeks out appropriate projects to fulfill GP's market objectives and goals: Reviews various sources of information for upcoming projects to bid.
  • Checks various websites daily (Federal, State, City and County, etc.) to identify potential work opportunities, gather information and either independently or jointly with Manager, make appropriate assignments. Download project files and setup of estimate folder.
  • Updates bid schedules weekly, or not less than every two weeks in preparation for weekly estimating meeting. Maintain quote master list, add new jobs, update information as required, (tonnage, bid date, etc.)
  • Coordinates all activities related to prime bids which includes:
    • File Intent to Bid, if required.
    • Handle requalification questionnaires and subcontractor prequalification data requests.
    • Create folder of original bid documents. Creation of bid tabs in excel format
    • Review of specifications to determine required bid documents
    • Order bid bonds and review specifications for other requirements
    • Review specs and gather all necessary documentation
    • Advertise as required, and document 'good faith' efforts where applicable. Maintain a working list of valid DBE subcontractors, vendors and suppliers
    • Review of GP and subcontractor license status and good standing for bidding
    • Double check estimator's pricing and unit price extensions on proposal sheets for final submittal
    • Prepare and finalize bid documents and file in a timely manner
  • Receives and handles phone calls, faxes and emails for the Estimating department, and assists Estimators with outgoing quotes as required.
  • Assess value of solicitation requests and procurement of bid documents. Adds value to Company services by portraying a competent and professional image to customers while providing appropriate recommendations for each customer's specific needs.
  • Provides pricing information directly to customers at the level authorized by management, which includes preparing bids on estimating software, "B2W."
  • Performs job calls, meets with customers, and gathers sufficient information to provide customers with follow-up.
  • Follow up on closed bid results / private bids as required.
  • Performs other duties as assigned.

PRINCIPAL REQUIREMENTS:

  • Must be able to lift, push, pull up to 25 lbs
  • Skills/Knowledge:

    Math: Excellent math skills to review and analyze financial data and perform calculations related to daily tasks.

    Reading: Able to read and understand project specifications, financial forms and technical documents.

    Blueprint reading preferred.

    Licenses: Valid driver's license and favorable traffic abstract.

    Notary Public preferred

    Education: Bachelor's degree within relevant field of study, preferred.

    Experience: 2 years of relevant experience preferred.

    Other: Working knowledge of Word, Excel, Email; aptitude to learn in-house systems; keyboarding skills sufficient to complete daily tasks in a timely manner.
