Position Overview:

The Project Administrative Support - Oahu Rentals person is responsible for facilitating the administrative duties of the Oahu Rentals department as it relates to State Maintenance Projects that the department is contracted to perform.


Essential Duties:

· Verifies Rental Contracts for State Maintenance Projects match contract rates, are linked to Job Module in Sage and match employee work logs


· Reviews Employee work logs and ensures that they match with hours and materials billed for on State Maintenance Project Rental Contracts


· Records and maintains Special Duty Officers electronic file for State Maintenance Projects. Process HPD checks for Special Duty Officers and record them in the master file. Verify job assignment and payment.


· Audit in-coming HPD invoices, match to HPD check register and to corresponding Rental Contract for State Maintenance projects. Follow up with HPD to resolve errors and make corrections to corresponding documentation accordingly.


· Enter HPD hours and expenses into Force Account Worksheet for State Maintenance Projects and submit to customer for payment. Follow up on payment status and make adjustments as needed.


· Assists Dispatchers with reconciliation of Rental Contracts and Return Tags in preparation for processing the State Maintenance project invoices.

· Assists the AR Specialist with documentation and data gathering for collections and/or assists with collections for State Maintenance Projects.


· Performs other duties as assigned.

· Promotes awareness of and follows Company and general safety policies.

· Exhibits a core understanding of mutual respect and good customer service orientation in interactions with all people in the workplace



Working Conditions:


  • Reports to airconditioned Administrative office of the base yard

  • Department operations are 24 hours a day, 7 days a week

  • Typical shift schedules are:

  • Part-time
  • Maximum 20 hours/week
  • Flexible hours, any day of the week

Minimum Qualification Requirements:



Education High School graduate

Experience 6 months relevant experience in a similar operation and/or office setting; familiarity with traffic control, equipment rental and/or dispatching helpful.

Computer Skills Working knowledge of Word, Excel, Email. Adaptable to in-house software. Keyboarding skills sufficient to complete tasks in a timely manner.

Calculator 10 key by touch.

Math Uses basic math functions to perform daily tasks.

Reading Must be able to read and understand business documents and compose memos and other correspondence.
